Stobox Intelligence is live. It turns a company and its assets into one verified record that people and machines can read.

But this post is not about a product page. It is about what sits behind it. Over the past months I have personally led the AI transformation of Stobox. Not a pilot, not a chatbot on the website. The whole company: finance, legal, sales, email, the website, reporting. Today most of the routine work at Stobox is done by AI agents that work from one record of the company, and the people spend their time on decisions.

I want to explain, in plain words, why every growing business will need this, how it actually works, and what it gives an owner. At the end there is an invitation: if you run a company, we will build the same for yours.

Part 1. Why this matters

Your company knows a lot. Just not in one place.

Think about where the truth about your business lives right now.

The contracts are in a shared drive, in three versions, and nobody is sure which one was signed. The numbers are with your accountant. The client history is in one salesperson’s inbox. The price you agreed with a supplier is in a WhatsApp chat. And the reason a big decision was made two years ago left the company together with the employee who made it.

You, the owner, know most of it. But you cannot hand it over. Not in one piece, not quickly, not in a form that someone else can check.

You pay for this every day

You pay for scattered knowledge three times.

In salaries. A large part of office work is not real work. It is moving information: finding a file, copying a number from one system into another, asking a colleague what is true, writing the same update for the third time. People are paid full salaries to be human cables between systems.

In bad decisions. Decisions get made on a number that was out of date, a contract that was replaced, a client status that changed last week. Nobody lied. The information simply did not travel.

In risk. When a bank, an investor or a buyer asks for due diligence, the company spends weeks collecting what it should already have. When a key person leaves, part of the company’s memory leaves too.

Why a chatbot does not fix it

Most companies “use AI” today in one way: someone opens a chat window and asks a question. That helps with a letter or a summary. It does not change how the company runs, for three reasons.

  1. It forgets. Close the window and the context is gone. Tomorrow you explain everything again.
  2. It does not know your sources. It answers from what you pasted in, or from the internet. It cannot tell you which contract a number came from.
  3. Nobody is accountable. An answer in a chat is not a record. You cannot audit it, version it or show it to a lawyer.

A chat window is a smart intern with amnesia. A company needs something else: a memory that does not quit, that cites its sources, and that machines and people can both work from.

That is what a second brain is.

Part 2. What a second brain is

The idea

The idea comes from some of the strongest people in AI. Andrej Karpathy, one of the founding members of OpenAI and the former head of AI at Tesla, described a simple pattern for working with knowledge through AI.

You keep two layers.

  • Raw sources. Everything that comes in stays exactly as it arrived: contracts, statements, emails, call notes, documents. Nobody edits them. They are the evidence.
  • A wiki compiled from them. An AI model reads the sources and writes clear pages: one page per person, client, contract, project or decision. Pages link to each other. Every fact on a page points back to the source it came from.

When a new source arrives, the AI updates the pages it touches. Then it checks the whole wiki: broken links, contradictions between pages, facts that a newer document has replaced. The knowledge does not get searched from scratch every time. It accumulates and gets better.

What we added to make it work for a company

A personal wiki is one thing. A company needs more. At Stobox we took the pattern and built it into a working system with three parts.

1. One record. Every fact about the company lives in one place, with a link to where it came from: the signed contract, the bank statement, the email. Nothing is true because someone said so in a meeting. If two documents disagree, the system flags it and the newer source wins.

2. Agents with narrow jobs. Instead of one general assistant, there is a team of AI agents, each with one job. One keeps the books. One reviews contracts. One keeps the CRM honest. One prepares the morning report. One drafts replies to new leads. They all read the same record and write back into it, so the work of one becomes the context of the others.

3. People who decide. The machine collects, checks, drafts and flags. A person approves anything that leaves the company or moves money: every outgoing letter, every payment, every signature. This line is not a detail. It is what makes the system safe to trust.

Part 3. How it works in practice

Let me show it on one ordinary event.

A signed contract arrives by email.

  1. The contract is saved as a source, untouched.
  2. An agent reads it and updates the pages it affects: the client’s page gets the new terms, the finance page gets the expected payments, the calendar gets the deadlines.
  3. The system checks for conflicts. Does the price match what sales promised? Does the payment date clash with another obligation? Is the signatory the person the company register says it is? Anything that does not add up becomes a flag.
  4. The next morning, the owner’s report says: one new contract, two dates added, one flag to look at. Ten minutes, and the owner knows what changed.
  5. When the payment arrives, the books agent matches it to the contract. When it does not arrive, the reminder is drafted for a person to send.

Nobody copied anything. Nobody asked a colleague. And six months later, when someone asks why the price was what it was, the answer is one click away, with the source.

Now multiply that by every contract, every invoice, every lead and every decision. That is the difference between a company that uses AI and a company that runs on it.

Part 4. What it gives you

One truth. Everyone, people and machines, works from the same facts. Arguments about which version is right end, because every fact shows where it came from.

A memory that does not quit. When an employee leaves, the knowledge stays. When a new one joins, they read the record instead of chasing colleagues for months.

Speed. Questions that used to take a day of searching take a minute. Reports that took a week build themselves from the record.

Fewer hires for routine work. Work that existed only to move information from one system to another goes to the machine. The people you keep do what only people can do: judgment, relationships, responsibility. This is the honest version of “AI replaces jobs”, and as an owner you should plan for it rather than read about it.

Readiness for money. A bank, an investor or a buyer asks for documents and gets them, with sources, in days instead of weeks. This is exactly what Stobox Intelligence was built for: a company that can prove what it says.

Part 5. What changed at Stobox

I will not give you percentages we have not measured. Here is what is true today.

  • Finance. Our 2026 books were audited and closed on 9 September. Every transaction is entered once, with its proof attached, and the monthly reports build from that record. I sign off as CFO; the day-to-day work is done by an agent.
  • Legal. Every corporate document we have was read and checked against the others. Inconsistencies that would have surfaced in a due diligence, at the worst moment, surfaced in a report instead.
  • Sales and email. The CRM is updated from real correspondence, not from memory. Every lead gets a first reply. Before every call I get a one-page brief on who I am meeting.
  • The website. We rebuilt stobox.io and refreshed hundreds of blog posts in weeks, not quarters.
  • Reporting. Every morning there is one report of the whole company. I read it in ten minutes.

Part 6. What it is not

It is not a chatbot. A chatbot answers questions; a second brain also does the work that follows from the answers.

It is not a big IT project. We do not replace your systems in one go. We start with the one process that costs you the most and build from there, so you see results early.

It is not a black box. Every fact has a source. Every action by an agent is visible. Every outgoing letter and payment waits for a person.

It leaves the judgment with you. The routine goes to the machine, so you have time to use it.

Part 7. How we build it for your company

Every company is different, so there is no package to pick from a menu. The order is always the same.

Can I just do this myself with ChatGPT or Claude? For one-off tasks, yes, and you should. What you will not get from a chat window is the record, the sources, the checks between documents and the agents that keep working when you close the tab. That is the part we build.

Is my data safe? Your data stays in a space set up for your company, and we agree with you in writing where it lives and who has access. Nothing leaves the company without a person approving it.
